WHEN TO PREPARE A NEW INVENTORY

When should a new inventory be prepared?

A new inventory should provide an accurate description of the property’s current contents, fixtures and fittings. It is particularly important where an earlier report no longer reflects what is present at the property.

At the start of a new tenancy

A fresh inventory provides the incoming parties with a clear record of the contents, fixtures and fittings present at the beginning of the tenancy.

Following refurbishment or redecoration

A new report may be needed where works have materially changed the property, its finishes, fittings or contents.

After significant changes to contents

The inventory should be updated where furniture, appliances or other items have been added, removed or replaced.

Where the previous report is no longer suitable

A replacement may be appropriate where the earlier inventory is missing, outdated, incomplete or no longer accurately describes the property.

WHY THE STARTING RECORD MATTERS

A useful reference for the tenancy ahead

A clear starting record helps the landlord, tenant and managing agent understand what was present at the property when the tenancy began. Where a check-in is included, it also records the condition and cleanliness at that time.

The report can later be considered alongside the Check-Out Report when changes to contents, condition or cleanliness are reviewed. It provides evidence for consideration but does not decide responsibility, fair wear and tear, deposit deductions or liability.

What is the difference between an Inventory and an Inventory & Check-In

An Inventory provides a room-by-room description of the property’s contents, fixtures and fittings, including the quantity of each item recorded. An Inventory & Check-In also records the visible condition and cleanliness of the property and its contents at the beginning of the tenancy.

Does the tenant need to attend the check-in?

Tenant attendance is not always required. The agreed attendance, access and key-handover arrangements should be confirmed when the appointment is booked.

What should be ready before the inspection?

The property should be presented in the condition in which it is intended to be recorded, with suitable access available throughout. Any required keys, access instructions and relevant reporting information should be provided in advance.

Are meter readings, alarms and keys included?

As standard, we record meter readings and alarm information where they are safely accessible during the appointment. All keys provided for the inspection or check-in are recorded, together with any agreed collection or handover details.

When will the completed report be delivered?

Completed reports are issued electronically once the inspection has taken place and the report has completed our internal quality review. Delivery times can vary depending on the size of the property, the scope of the instruction and the level of detail required, so an exact delivery time cannot always be confirmed in advance.

Can an existing inventory be reused for a new tenancy?

An existing inventory may be updated where only minor amendments are required and the report still accurately reflects most of the property, its contents, fixtures and fittings. A new inventory will usually be more appropriate where there have been significant changes, refurbishment or redecoration, or where the previous report is incomplete or outdated.
