USING THE STARTING REPORT
With a Starting Report, the Check-Out Becomes a Direct Comparison
Where an Inventory, Check-In or combined Inventory & Check-In report is available, Dock uses it as the starting reference for the Check-Out. The property can then be reviewed room by room against the earlier written record and photographs.
A Check-Out can still be completed without a starting report, but it will record the property as returned rather than provide the same direct comparison.

The starting report provides the baseline for reviewing contents, condition and cleanliness, allowing visible changes, missing items and other relevant differences to be identified against the earlier record.
WITHOUT A STARTING REPORT
A Record of the Property as Returned
Where no suitable starting report is available, Dock can still record the property’s visible contents, condition and cleanliness at the end of the tenancy. However, the report cannot reliably establish whether a particular difference arose during that tenancy without an earlier record for comparison.

What’s Included in a Check-Out Report?
A Dock Check-Out Report creates a structured written and photographic record of the property at the end of the tenancy, with direct comparisons against the starting report where one is available.
Room-by-room review
Each room is inspected and its visible contents, fixtures, fittings, condition and cleanliness are recorded. Where a suitable starting report is available, relevant differences are compared against the earlier record.
Condition and cleanliness
The visible condition and cleanliness of the property, fixtures, fittings and contents are recorded as they are found at Check-Out.
Missing or changed items
Where comparison information is available, items that appear missing, replaced, moved or materially changed are identified against the starting report.
Photographic evidence
Supporting photographs document relevant condition, cleanliness, damage and other observations alongside the written Check-Out record.

APPOINTMENT TIMING
When Should a Check-Out Inspection Take Place?
The Check-Out should take place once the tenant has finished moving out and the property is in the condition in which it is being returned. Ideally, the inspection should be completed before any further cleaning, repairs or redecoration take place.
As Close as Possible to Handover
Arrange the Check-Out as close as reasonably possible to the tenancy end or agreed handover date so the report reflects the condition in which the property is returned.
After Personal Belongings Are Removed
The tenant’s personal possessions should normally be removed before the inspection so floors, surfaces, supplied contents and other areas can be properly inspected.
After final cleaning, before remedial works
Any intended end-of-tenancy cleaning should be completed before the Check-Out. Repairs, redecoration, replacement works or further landlord cleaning should normally wait until after the inspection so they do not alter the condition being recorded.
With Access and Returned Keys Arranged
Access should be confirmed in advance. Where the tenant attends, all keys being returned should be available for recording. Where the tenant does not attend, key-return and access arrangements should be agreed before the appointment.

Clear Evidence at the End of the Tenancy
A Check-Out provides a dated written and photographic record of the property as it is returned at the end of the tenancy.
Where a suitable starting report is available, the Check-Out can also identify relevant changes in contents, condition and cleanliness against the earlier record, helping landlords, tenants and managing agents review the end-of-tenancy position more clearly.

Professional Observations, Not the Final Decision
Dock Inventories records the visible position at the property and, where possible, compares it with the available Inventory, Check-In or combined Inventory & Check-In report. Where appropriate, the clerk may comment on fair wear and tear, apparent responsibility or possible liability based on the visible evidence and information available at the time.
The Check-Out Report provides evidence for consideration. It does not determine legal liability, the amount of any deposit deduction or the outcome of a dispute.

Do you need the original Inventory or Check-In report?
No. A Check-Out can be completed without a starting report. However, where a suitable Inventory, Check-In or combined Inventory & Check-In report is available, it provides the baseline for comparing the property room by room. Without one, the Check-Out records the property as returned but cannot provide the same direct comparison.
Does the tenant need to attend the Check-Out?
No. Tenant attendance is not normally required provided suitable access and key-return arrangements have been agreed. Where the tenant attends to return keys, the clerk can record the keys handed over at the appointment.
How should the property be prepared for Check-Out?
The tenant’s personal belongings should normally be removed and any intended end-of-tenancy cleaning completed before the inspection. The property should then remain unchanged until the Check-Out has taken place so the report reflects the condition in which it was returned.

How long does a Check-Out inspection take?
Inspection time varies according to the size, furnishing, condition and complexity of the property, as well as the starting report available for comparison. Larger or heavily furnished properties generally require more inspection time.
Does the Check-Out Report decide deposit deductions?
No. The Check-Out Report provides evidence of the property at the end of the tenancy and may include professional observations about relevant changes. It does not determine legal liability, the amount of any deposit deduction or the outcome of a dispute.
