Below are answers to common property inventory FAQs in London. In particular, we cover reports, check-ins, check-outs, deposits, photos, fair wear and tear, and cancellations.
Booking & process
What details do you need to book a job? +
To start, we need the job date, the full property address or postcode, access details (keys or tenant access), and a contact number for the tenant or agent. Additionally, for check-ins or check-outs, we also ask for the tenancy start or end date, plus any building notes such as parking, concierge access, or entry instructions.
Do the tenant or landlord need to be present? +
In most cases, no. Instead, we can complete the visit using keys or managed access. However, if the tenant attends a check-in, it can help resolve questions on the day. Even so, we can still complete the report fully without anyone present.
Do you charge cancellation fees? +
We do not charge a fee if you cancel at least 24 hours before the scheduled booking. However, if you cancel after this period, a cancellation fee of £50.00 (excluding VAT) will apply.
Reports
Why have an inventory? +
An inventory report records the condition of the property at the start and end of a tenancy. As a result, it shows whether the tenant has looked after the property during the tenancy. Most importantly, it provides evidence that supports fair outcomes if a deposit dispute arises.
Do I require an inventory if the property is unfurnished? +
Yes, you still need an inventory even if the property is unfurnished. This is because the report covers the condition of fixtures and fittings, such as walls, ceilings, floors, doors, windows, and lighting. In other words, even without furniture, damage can still occur, especially to newly decorated surfaces.
What is the difference between an Inventory Make and a Check-In report? +
An Inventory Make records the condition and contents of the property in detail before the tenancy begins. A Check-In, on the other hand, takes place at handover and confirms the condition on that day, usually including meter readings and key handover. For efficiency and cost savings, we aim to complete the Inventory and Check-In during the same visit whenever possible.
Deposits
What is ‘Fair Wear & Tear’? +
The House of Lords defines fair wear and tear as “reasonable use of the premises by the tenant and the ordinary operation of natural forces”. Therefore, we consider factors such as the item’s age, the tenancy length, and the starting condition so we can distinguish fair wear and tear from damage.
What is a Tenancy Deposit Scheme? +
It is a government-approved scheme that protects the tenant’s deposit for qualifying tenancies. In addition, it provides a clear dispute resolution process if the parties disagree at the end of the tenancy.
Photos & amendments
Do the inventory reports include photographs? +
Yes. We include clear, high-quality photographs. As well as supporting the written notes, the photos provide extra evidence if a dispute occurs.
What happens if the tenant does not agree with the comments in the Check-In report? +
The tenant has seven days from receiving the report to review it. If they raise comments within this period, we review them and, where appropriate, we issue an updated version to both parties.
